School document review checklist

Use a free, printable checklist to review the source, reference, dates, scope and attachments of a school administration document.

What this checklist does

Use this before acting on a school circular, forwarding an order or completing a downloaded form. It helps organise the checks you have made; it does not authenticate a document or determine whether an instruction legally applies. An unchecked item is a question to resolve with the issuing office, rather than proof that the document is false.

Tick only the checks you have completed. Your checklist is kept in this page's memory and resets when you reload. No document, school name or personal identifier is needed. The printable and CSV copies contain the check labels and completion states, not a document upload.

Review progress

I have compared the copy with the issuing office’s publication or obtained confirmation directly from that office. A message forwarded by someone else is not my only evidence.

The reference number and issue date are legible, and I have kept them with the copy so another person can identify the same document.

I have read which school types, offices, locations or staff the document addresses, rather than relying only on its title.

I have separated the issue date from the reporting period, last date for action and any date on which the instruction takes effect.

The copy contains the page sequence and the annexures or forms referred to in the text. I have asked for missing attachments before using them.

I have checked whether a later clarification, revised form or replacement instruction changes the copy I am using.

I can state what needs to be done, who will do it and what completion evidence needs to be kept. An unclear instruction has been referred to the issuing office.

I have reviewed attachments for student, staff or other private information before forwarding a copy or putting it on a public page.

0 of 8 checks completed.

What to do with an unresolved check

Keep the copy and write down the uncertainty before forwarding it. For example: “Annexure 2 is referenced but was not included,” or “The reporting period is stated but the submission deadline is unclear.” A specific question is easier for the issuing office to answer than a general request to confirm the entire message. When you receive clarification, keep it with the document and repeat any affected checks.
